Reviewing and Publishing

Everything on the site is either draft or published. Published content appears at its public address; a draft is a 404 for the public until someone makes it live. Who can flip that switch depends on your role.

The control

Pages, news posts, events and campaigns all carry Save draft and Publish buttons. There's no status dropdown; the button you press decides.

Preview

All four have a live preview in the editor, at three sizes: Mobile (375×667), Tablet (768×1024) and Desktop (1440×900).

A draft can also be viewed at its real address. When something isn't live, the Public URL field in the sidebar carries a View draft link. To leave draft view, use the Exit link in the editor pill at the top of the page.

Draft view needs a CMS login, which the people reviewing a page often don't have. For them, the editor's sidebar has a Share link field with a Copy share link button. The link opens the draft in any browser, no login needed.

Publishers and admins only. Editors don't see the field.
The page has to be saved first. A page that's never been saved has nothing to link to.
Links expire after 14 days. Opening the page in the editor mints a fresh one.

Each link runs its own 14 days, and older ones keep working until theirs run out. There's no way to switch one off early, so send it only to people who should see the draft.

Readiness

Readiness records how finished the content is. Five stages, in order: Scaffold, Content in progress, Internal review, Ready for review, Signed off. It lives on Pages.

It's internal and changes nothing about the site. Draft or Published controls what the public sees; readiness is the team's note to itself. A page marked Scaffold can be published, and a Signed off page can sit in draft.

Signing off takes a publisher or admin. Moving a page to Signed off stamps who did it and when, shown as read-only fields.
Moving away from Signed off clears the stamp. An editor can do this, so a cleared stamp doesn't mean a publisher changed their mind.
Editing after sign-off doesn't revoke it. The stamp stays until someone moves the stage back.

Permissions

Editors write and save drafts; publishers and admins decide what goes live. An editor who tries to publish or sign off gets one of these:

Editors can save drafts; a publisher or admin publishes.
Only a publisher or admin can sign off readiness.

The publish block runs one way. Save draft still works on published content, because updating a live page starts as a draft save and blocking it would lock editors out of every live page — which also means an editor can take published content back to draft. Deleting stays with publishers, and the published version stays in the version history either way.

Timing

Saving clears the site's cached copy of that page immediately. There's no flush step and nothing to wait for. Publishing makes the change live; saving a draft leaves the public page as it was.

The editor pill

On the front end, signed-in staff see a small row in the top utility bar. Depending on the page it can show the environment (outside production only), an Unpublished flag, the current readiness stage, a Draft toggle with its Exit link, a version-history icon and Edit page.

On a page that's published and signed off it shows nothing at all. The pill only appears when there's something to say.
